TERMS AND CONDITONS
PURCHASE POLICY
- Pricing: All prices are in Canadian Funds, HST not included.
- Retail Items: All retail items may be exchanged only if they are returned as purchased (tags/labels on). Exchanges of the same item are valid within 30-days of purchase. No Refunds.
- Class Passes: The single class pass and 10 class pass has a 6 month expiry.
- Membership Transfers: NO membership or class pass may be transferred to a third party.
- Membership Refunds: All memberships and offers are non-transferable and non-refundable. Cancellation and refunds are not available for pre-paid memberships. If a medical note is provided, a hold may be issued.
- Membership Cancellations: We require a 7 day written notice (via email) before your billing date to cancel any auto-renewing membership. Please email: info@heatpilatesandritness.com to cancel/change memberships.
- Membership Holds: Eligible auto-renewing memberships may be placed on a 14 day hold up to 2 times per calendar year. After the 14 day hold is completed, the membership will automatically resume and payment will be processed updating the new billing cycle date. Members must provide written notice via email to the studio at: info@heatpilatesandfitness.com 7 days before the next billing cycle.
- Declined Payment: Any declined payments, credit card, or NSF debit requests may be subject to a fee.
CELL PHONE POLICY
The Heat Pilates and Fitness studio’s cell phone policy acknowledges the importance of these devices in our daily lives but sets guidelines to maintain a respectful and focused environment during classes. During classes, cell phones must be silenced and put away to minimize distractions. Texting and calls are prohibited during classes. Between classes, selfies and videos are allowed to promote the Heat Pilates & Fitness brand, but participant consent must be obtained and privacy respected.
CHILDMINDING
We do not offer childminding services, and children cannot be left unattended at our studios or accompany members into the studio unless for a specific workshop that includes children.
AGE LIMIT
No one under the age of sixteen years (16) will be permitted to take part in heated classes under any circumstances.
CLASS WAITLISTS, LATE CANCELLATION AND NO SHOW POLICIES
We strive to provide an efficient and fair waitlist system to accommodate as many members as possible. Please take note of the following guidelines:
- Treat Waitlisted Classes as Confirmed Reservations: When you join the waitlist for a class, please consider yourself as already registered. Be prepared to attend with last-minute notice, as our waitlist tends to move swiftly, especially overnight.
- Responsibility to Remove Yourself from Waitlist: If you find that you’re unable to make it to a class for any reason, we kindly request that you remove your name from the waitlist before you are moved into the class. You can easily manage your waitlist status through our app.
- Ensure Notifications Settings are Updated: To avoid missing notifications about your waitlist status, please ensure that your app settings are updated to receive timely alerts.
- Regular Late Charges and No-Show Fees Apply: Once you are successfully moved from the waitlist and added to the class, our standard late charges and no-show fees will apply in case of tardiness or absence.
- Late and No-Show Policies: If you are registered but cannot attend a class, you must cancel 3 hours before the class start timeor else a late cancellation fee of $10 will be automatically charged to your account. A no-show fee of $20 (including if you missed a class because you arrived late) will be automatically charged to your account. These fees helps maintain class availability for all members and compensate for reserved studio space and instructor time. Repeated late cancellations or no-shows may result in temporary suspension of advance booking privileges. We understand things happen, incase of an emergency please call or email us asap to inform us that you will not be attending class and why.
MEMBER CODE OF CONDUCT
To ensure a respectful, safe and welcoming environment, we ask all members adhere to the following policies:
- Class Arrival: Please arrive at least 10 minutes early to check-in and set up for class. Doors will be closed 1 minute before class start time. There is NO ENTRY to classes already in session for late arrivals, a no-show fee of $20 will be charged.
- Appropriate clothing: Appropriate clothing must be worn during all classes. Attire should be comfortable, supportive, and suitable for physical activity. For hygiene and safety reasons, underwear alone is not considered appropriate workout attire. Please wear proper activewear such as leggings, shorts, sports bras, tanks, or fitted workout tops. If you have any questions about what is considered appropriate, feel free to contact us directly.
- Personal Hygiene: All staff and members are to maintain good personal hygiene before attending class. This includes wearing clean clothing, using deodorant/antiperspirant, and practicing general cleanliness. We also ask no use of fragrances, colognes, or strong smelling scents.
- Equipment Use: All equipment must be used safely and respectfully (no throwing or dragging weights on the ground). All equipment must be put back properly after use.
- Attending Back to Back Classes: No member is permitted to attend more than 2 classes in one day due to safety reasons.
- Studio Closures: The member acknowledges and understands that the studio may be closed or class times modified for holidays including Christmas and other government approved holidays. In addition, the studio may be closed in the event of inclement weather (such as storms or heavy snowfall) to prioritize the safety of our staff and members.
- Respectful Conduct: All staff and members agree to treat all Studio staff, instructors, and fellow members with respect; follow all posted studio rules and instructor guidance; refrain from harassment, discriminatory behavior, or disruptive conduct; not engage in any defamatory, derogatory, or harmful communications about the Studio, its staff, or members, whether in person or through any medium including social media. Any behaviour that is disruptive or disrespectful to others including gossiping, yelling and swearing at any time will not be tolerated. If at anytime, the safety of other members and staff may be compromised, Heat Pilates and Fitness Inc. staff reserve the right to terminate memberships or rescind the rights of members not complying with the terms and conditions stated. Heat Pilates and Fitness Inc. maintains a zero tolerance policy for violations of these standards. Any breach may result in immediate membership termination without refund, and the Studio reserves all legal rights and remedies.
